What fields are mandatory during registration process?
All fields with “*” are mandatory.
You won’t be able to properly finish the registration process without filling out mandatory details.
How will I know registration was successful and I can start sending PDF e-invoices?
You will receive a confirmation email from Basware:
How can I change or add another email address for sending invoices?
To add a new email address to your account please log in to Basware Portal: https://portal.basware.com, go to services tab and PDF e-Invoice:
And click the “+” sign:
You will receive a confirmation email were you need to click the “confirmation” button:
You can add up to 200 email addresses to your account.
How can I check PDF file is machine readable?
“Machine readable” is better called “searchable”. It’s the level where a computer can easily, unambiguously and flawlessly extract the full text. To check if the data is machine-readable:
- Open the invoice you created.
- Press CTRL+A (it will select all text).
- Copy the invoice data to clipboard.
- Paste the invoice data into a word processing software, f.e. Notepad, TextEdit or WordPad
If there are strange characters in the text please use a different font and create invoice again.
Is it important how I name the PDF file with invoice?
No, you can use any name. It is only important how you name attachments to invoice when both are send in separate PDF files.
How should I name PDF files with attachments to the invoice?
- System by file name distinguish invoice from attachment.
- Only PDF attachments are allowed. Any other kind of attachment is ignored.
- Name the attachment so that it contains the word attachment, anhang, anlage, adjunto, annex, or liite. For example, attachment_112233.pdf.
- If you send multiple attachments we suggest to send one invoice per email.
How can I check whether the invoice was delivered to the receiver?
You can check the status of the invoices in your account to Basware Portal: https://portal.basware.com.
Go to Documents tab and check the status:
When invoice gets rejected?
- The PDF invoice file is not machine-readable (Question 4)
- The email invoice was sent from an un-registered email address (Question 3)
- A mandatory field does not have content. (Question 1)
- The name of the additional attachment file does not include one of the following words: attachment/anlage/adjunto/annex/liite. (Question 6)
Basware will notify by email if the invoice cannot be delivered. Please note, the rejection notifications are sent to the email address, from which the invoice was sent and primary contact email address.
